01Who we are
This website, iubesports.com, is run by the IUB Esports Club, a student club under the Department of Computer Science & Engineering, Independent University, Bangladesh (IUB). The club's Faculty Advisor oversees it. This policy is the club's own; it is not an official IUB policy.
02Browsing the site
You can read the site without signing in. We don't use analytics, advertising or tracking tools, and the site doesn't load Facebook or Google scripts. Our hosting provider keeps standard server logs (such as IP address, pages requested and time) to keep the site running and secure.
03Signing in with Google
To register for an event you sign in with your @iub.edu.bd Google account. Google sends us your name, email address, profile photo and an account ID, and tells us whether the email is verified and belongs to the iub.edu.bd domain. We use this only to confirm that you are an IUB account holder and to link your registrations to you. When your IUB email is your student ID, we also use it to fill in your student ID.
We don't get your Google password, and we can't see your Gmail, Drive, Classroom, contacts or anything else in your Google account. Our use of information received from Google follows the Google API Services User Data Policy.
04What you give us when you register
Depending on the event and game, a registration form asks for:
- Your full name, IUB student ID, mobile number and, for most games, your Discord username.
- For team games, the team name and an optional logo, and each teammate's full name, student ID and game details. Captains should only enter teammates' details with their permission.
- Game details such as in-game names, game or player IDs, device and district, as listed on each form.
- Photos of IUB ID cards, so organisers can check that every player is a current IUB student.
- The time you accepted the event rules.
05How we use it
- To check eligibility and approve, waitlist or reject entries.
- To organise the tournament: brackets, match schedules, check-in and prizes.
- To contact captains and players about the event (by phone, WhatsApp, Discord or email).
- To show you your own entries and their status on your “My registrations” page.
We don't use your information for advertising, and we don't sell it.
06Who can see it
- Club organisers with an admin account (the Faculty Advisor and the club's admins and moderators) can see registrations. Club members who only edit website content cannot.
- ID card photos are stored privately and can only be opened by those organisers. Uploaded files are renamed so their names don't reveal anything about you.
- Publicly, we may show team names, in-game names and results (for example on brackets, match schedules, this website or the club's social media). Student IDs, phone numbers, emails and ID card photos are never published.
- Service providers: Google provides sign-in, and the website and its database are hosted by Hostinger. They process data only to provide those services.
- We may disclose information if IUB or the law requires it.
07Cookies
The site sets only the cookies it needs:
- Sign-in: keeps you signed in for up to 14 days, until you sign out.
- Sign-in check: a short-lived cookie (10 minutes) that protects the Google sign-in step.
- Admin sign-in: only for club organisers using the admin panel.
None of these are used for tracking or advertising.
08How long we keep it
Registration entries, including ID card photos, are kept while the event runs and until results and any disputes are settled. After that, organisers delete them. Deleting an entry also deletes its uploaded files. Your sign-in record (name and email) stays so you can see your entries; you can ask us to delete it at any time.
09Your choices
- View and edit your entries until registration closes on My registrations.
- Ask us to correct or delete your information, or withdraw an entry, by emailing esports.club@iub.edu.bd.
- Sign out at any time from the registration pages.
10Security
The site uses HTTPS, signed sign-in cookies and role-based access in the admin panel. Registration files are kept outside the public website folders. No system is perfectly secure, but we limit access to the people who need it.
11Changes and contact
If we change this policy, we'll update the date at the top of this page. Questions or requests: esports.club@iub.edu.bd, or the Faculty Advisor at sanzar@iub.edu.bd.
